Administrative Duties:
- Answer and direct telephone calls to appropriate staff daily.
- Greet and direct visitors, clients, and listeners daily.
- Sort and distribute incoming mail, stamp and prepare outgoing mail.
- Enter sales orders and/or change orders into the traffic system accurately and timely.
- Ensure correct documentation is turned in with orders per station guidelines.
- Examples: Trade agreements, contract approvals, and credit applications.
- Generate and print daily traffic logs by using station requirements including sports and tournament logs.
- Keep files and other paperwork up to date, including but not limited to the sales cabinet and order book.
- Generate and mail monthly invoices.
- Prepare receivables for deposits bi-weekly.
- Update company websites and prepare posts
- Traffic fill-in for sister station office managers in their absences.
- Receive, investigate, and answer client billing and payment questions.
- Perform Credit Checks for new clients if requested by sales staff and management.
- Attend station events as scheduled by management.
